How it works - A short introduction

1. You'd like to advertise a service request ?
  • Before procuring you should think about which procurement process you prefer. Currently you can choose out of two procurement processes: With the regular request for offer procurement process you can choose the offer that fits best your needs out of the pool of all submitted offers. If you prefer the reverse auction procurement process, the lowest bidder will automatically become your supplying contractor.
  • For procuring or requesting a service you must become a registered member. The 'Standard membership' is free of charge.
  • After registration you can request services free of charge.
  • We recommend to prepare all digital documents, pictures and a description of your service request before starting the procurement process.
  • Determine a budget limit. This limit you can define as cap price to limit offers that will be submitted. Further you may define - if you wish so - your idea of hourly and daily rates. Finally you'll need to state when the service can be started earliest and by when the service should be fulfilled at the latest.
  • From the menu My Gango you can choose between a simplified service request and an expert request. You will then be guided through different form pages where you can define specifications regarding your service request. You can navigate forwards and backwards comfortably.
  • Under WHAT, you give your service request description a meaningful name and file the request under the relevant Service Category. The name as well as your description is indexed so that other users can easily find your service request by keywords. You choose the procurement process (regular request for offer or request for auction) and choose if it is a public or a private request. If you prefer a private procurement, your service request will be published only to the closed user group of users that you personally invite by e-mail.
  • Under WHEN, you state when the order can be served earliest and by when the order must be fulfilled at the latest. You can further define on which days and at which time of the day work can be done. Also you will define the period during which your request will be running.
  • You choose if you want your service request to be published straight away or later depending on your requesting start schedule definition. Default is to publish immediate.
  • Under WHERE, you can specify at which geographic location, address or area the service should be fulfilled. If you do not specify other data, the system will by default anticipate that you want your service to be fulfilled at your registered user address. However you are free to choose whatever location or area you like. The system supports you with a comfortable map tool to define any location or area in the world. You can manage all additional defined locations or areas in the menu 'My Profile' under the menu entries 'My Locations' and 'My Areas'.
  • As long as no offers have been handed it you can change all data and edit your request comfortably or terminate/close the request.
  • Under WHO, you can define further restrictions regarding the suppliers, such as accepting offers from legally aprooved suppliers only or the supplier's minimum rating, age, gender, their commercial status and so forth.
  • Under HOW, you specify the contract type you prefer to engage in with your supplier, and in which currency you will pay your supplier. If you chose the regular procurement process you can define your budget limits or cap prices and - if you wish - the caps for the hourly and daily rates. Here you can further define if your caps include or exclude the local taxes. If you chose the reverse auction process you must enter a start price (cap price). Bidders can bid in reduction steps of 1%. You can also enter an immediate contracting price at which an assignement is done immediately and the auction terminated automatically.
  • Under PAYMENT, you can define how you prefer to pay your supplier.
  • Under DESCRIPTION, you can comfortably formulate your order description in a HTML Text editor. Your description and the name of your request is indexd so that other users can easily find your service request by keywords. You can upload digital documents, pictures, maps, or other media to the server and additional - if you wish - refer to them with Weblinks in the text or to other Internet sites. Naturally you can directly insert your uploaded pictures into the text layout. All uploaded documents will be made available for download to others regardless of Weblink references.
  • At the end you can invite potential suppliers to offer or bid via the platform's e-mail messaging.
  • Further you can search for potential suppliers by browsing or searching in the mercantile directory Yellow Pages and invite them to offer or bid via the platform's e-mail messaging.
  • Duscussion Forum (blog): Along with each service reuqest, a discussion forum (blog) is available for questions from potential offerers/bidders/suppliers. Please check from time to time your mailbox to see if you received any questions regarding your service request. To guarantee a fair competition, all your answers and the questions are made public visible at the bottom of the service request page. Statements in the correspondence become an integral part of your contract.
  • Expert Tip: If you would like to find the optimal offer between prize and quality, we recommend to proceed as follows; first you start a new regular request for offer without giving any prize sugestions. In best case you will receive several offers with prices and service statements. As you are not obliged to contract now, you could instead use your evaluated prize range and better service descriptions to start a new auction now - based on the offer of your choice.
2. You'd like to submit an offer or bid ?
  • For offering or bidding for a service request at Gango you must be a registered member. The 'Standard membership' is free of charge.
  • Offering and bidding is free of charge. In case of success, i.e. if you become the contracted supplier, the trading fee becomes due.
  • If you have any questions regarding the service request, feel free to use the discussion forum (blog) that exists for each service reuqest. The service requester will receive an email with your question. Any answer will be provided by email to you. To guarantee a fair competition, all questions and answers are published along publicly with the service request. This correspondence becomes integral part of the contract.
  • When offering or bidding, you must enter the cap price at which you agree to deliver. For further transparency you can also enter your hourly and daily rates.
  • Depending on the procurement process you can describe your offer further. In the regular procurement process you can describe your offer comfortably in an HTML Text editor. You can upload digital documents, pictures, maps, or other media to the server and additional - if you wish - refer to them with Weblinks in the text or to other Internet sites. Naturally you can directly insert your uploaded pictures into the text layout. All uploaded documents will be made available for download, regardless of Weblink references. Further you can specify your service dates, as long as they fit into the defined dates of the request.
  • After you have defined your offer, you can directly submit the offer, or you can save it as 'prepared' to further edit and submit later. Please note that an offer can be accepted by the requester before the procurement end date.
  • For the auction procurement process your bid must be lower than the lowest bid to be accepted by the trading system. In addition, in order to underbid you must meet the minimum reduction step that the service requester has defined. Currently it is at least 1% of the last bid.
  • If the service requester has defined an immediate contract price, you can acquire the service contract directly at that price.
  • If you have been underbidden during the auction, you will be informed via e-mail. You can also define a minimal bid price down to which the trading systems automatically puts bids in your absence.
3. Your procurement has ended. What's next ?
  • If you have chosen the auction procurement process, you will be informed via e-mail about the best bidder that was recognized by the system automatically as your supplier. Via the contact information you can directly contact your supplier to handle the next steps up to the delivery. After successful completion of the service, you can rate the supplier.
  • If you have chosen the regular procurement process to call for offers, you will be informed via e-mail whether offers are available or not. If offers are available, you can compare them and choose the offer that best fits your interests. You are not obliged to contract and can also just terminate the procurement process. The supplier you choose will be informed via e-mail. Via the contact information you can directly contact your supplier to handle the next steps for delivering. After successful completion of the service you can rate the supplier.
  • If no offers or bids were submitted, you will be informed via e-mail. You can then edit and resubmit your request or terminate the procurement.
  • The procurement processes and the service delivery will be closed with the rating of the supplier. However if you are not satisfied with the supplier's service, you can ask the next best alternative suppliers if they're still willing to fulfill the requested service order as offered earlier, while rating the unsatisfying supplier poorly. The first one to accept your request/nomination will become the new contracted supplier. You can rate this new supplier too, and if necessary nominate further alternative suppliers - as long as further offers are available. For the auction procurement process, the nomination of alternative suppliers follows the bid prices upwardly. In the regular procurement process you are free to choose.
4. You have submitted an offer or bid. What's next ?
  • If you have submitted an offer for a service request of the regular type, you are free to edit your offer at any time during the open request in the My Gango menu.
  • For the regular procurement process the requester is free to choose the offer that best fits their interests during or after the requesting timeframe. The winning supplier will then be informed via e-mail.
  • In the auction procurement process you will always see if you have become the new best bidder or if you were underbidden by someone else. By defining a minimal bid price you can let the trading system put your bids automatically down to this limit. If you were underbidden you will be informed via e-mail. Please note the necessary minimum reduction steps that were defined by the requester. If the requester has defined an immediate contracting price, you can acquire the contract immediately at this price.
  • If you've won the auction or if your offer was chosen and therefore you've become the contracted supplier, you will be provided with the requester's contact information. You are free to contact the requester to handle the next steps for delivery.
  • After successful completion of the service delivery, you can rate the requester.
  • However, if you didn't become the contracted supplier, there still is a chance that you might be nominated as alternative supplier by the requester, because the winner didn't deliver to satisfaction. You're then free to accept or decline the nomination to deliver under the conditions offered earlier. The first one to accept this nomination will become the next contracted supplier. If you are nominated, you will be informed via e-mail.
  • If your offer wins and you successfully become the contracted supplier, your trading fees - depending on the contracted volume and your membership - are due. Please note that you may not submit any further offers or bid as long as you have trading fees outstanding.
5. You'd like to advertise your service in the Yellow Pages ?
  • You can advertise your services free of charge in the global mercantile directory the Yellow Pages so as to give everybody access to your information.
  • By publishing your services, you leverage your market visibility and thus your chances to be invited by a service requester to offer or bid.
  • For publishing a new service, please go to menu My Gango and click 'Add a new service description entry'.
  • To publish your service in the mercantile directory, you must give your service a meaningful name under which it will be visible, and define the accurate service category.
  • A service has at least one tariff, but may also have more: You have therefore to define at least one tariff. When defining a tariff you must enter a tariff name, your working days of the week and your service times as well as your hourly and/or daily rates in your preferred currency. You further define if your service tariff includes tools and machines. Further you can define if your delivery includes transport and if so, what the transport costs are. For your transport costs you can define a fixed initial base price and a variable price per km. Further you can define for each tariff your location and your area. By default your user address and an automatically generated service area will be used. You are free to define them yourself. Based upon the choice of your membership type you can add further locations and areas. They can be managed in the menu 'My Profile'.
  • Now you can describe your service comfortably in an HTML-Text editor. Your description and the name of your service is indexd so that other users can easily find your service by keywords. You can upload digital documents, pictures, maps, or other media to the server and additional - if you wish - refer to them with Weblinks in the text or to other Internet sites. Naturally you can directly insert your uploaded pictures into the text layout. All uploaded documents will be made available for download to the service requester regardless of Weblinks reference.
  • Further you can let generate an automated email NewsFeed, a search agent that informs you by email about the availability of new service reuqests in your service areas. You can also edit or delete this generated NewsFeeds anytime in your Menu My Gango.
  • Once you have published your first service with its first tariff, you can add, edit or delete services or tariffs at any time. Feel free to add further tariffs to a service.
  • Please note that you must enter price information to publish a service in the Gango global mercantile directory. We strive for a transparent service market; therefore not only information about the services, geographic areas and work times or quality ratings of a service provider are necessary, but also publicly visible price information.
6. You'd like like to let inform by email about the availability of new service requests?
  • If you woul'd like to subscribe free of charge to an immediate or daily Newsfeed that informs you about the availability of new service requests fitting your personal area of interests, you can do that easily in the Menu My Gango. You can let restrict the search according to your preferences. For example you can restrict the geographic search area of your interests, your preferred categories or subcategories, your preferred working date, days and times, keywords, minimal contract volume and much more... Just try it.
